The Administrative Assistant to the Vice President, Safety & Quality and the Vice President, Decision Support for the Sisters of Charity of Leavenworth Health System (SCLHS) will be responsible for performing secretarial and administrative support for the executives, including preparing correspondence in final form, receiving visitors, scheduling meetings and conferences, filing, maintaining files, and conducting special projects as assigned. Duties require a detail oriented approach in order to meticulously gather data and prepare correspondence or reports, answer correspondence, conduct projects, etc. Deals discreetly with a wide variety of confidential information, concerning corporate and hospital affairs, information contained in minutes, legal matters, letters, and other documents. Position requires the ability to manage multiple tasks and assignments simultaneously. Performs a variety of related duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Bachelor’s degree in Business Administration or related field preferred.

Experience: Minimum of 5 years of prior experience in administrative secretary position required. Experience in healthcare setting desirable.

JOB DESCRIPTION:

An Exempla Healthcare Registration Supervisor is responsible for the day-to-day operations dealing with the registration of patients. This position will support Medical Oncology and Infusion Services in the Comprehensive Cancer Center. These duties include, but are not limited to: ensuring collection of accurate and complete demographics, insurance, copay collections , conducting Quality Reviews; managing the QA process; and, developing standards, policies and procedures. A Supervisor of Registration must be supportive of all Human Resources guidelines by example, as well as training and coaching employees. JOB DESCRIPTION:

Provides resident services through assessment, care planning, education, provision and/or coordination of services to meet the psycho-social needs of residents. Assists with the admission process through dissemination of information, assessment, and coordination of services at time of admission.

1) Admissions: Carry out the efficient, effective management of the admission process through: -dissemination of information to potential residents and/or their responsible parties -maintenance of waiting lists -assessment of potential residents for admission -pre-admission counseling with resident and/or their responsible party -coordinating admission paperwork and service delivery -orienting new residents and families through education of facility policies and procedures, as well as education specific to chronic illnesses, grief and loss issues, adjustment to LTC

2) Assessment: Assess the psycho-social needs through: -Interviews, observation, assessment, and completion of social histories, mini-mental status exam, depression screen , completion of MDS assessment, RAP's and development of plan of care

3) Service Delivery: responsible for the delivery and coordination of services to meet psycho-social needs of residents and families through: -Visitation, -Coordination and facilitation of the care planning process, -Education and advocacy re. Resident Rights, Confidentiality, Advance Directives, Abuse/Neglect Prevention and Investigation, End of Life Care, facility policies and procedures, education related to dementia and other chronic illnesses -Provision and/or coordination of support services for residents/families experiencing grief and loss issues, residents requiring mental health intervention -Facilitates communication with residents, families, staff, outside resources. -Provision of on-going services including coordination of transportation services, obtaining special services (audiology, dental, optometrist, ophthalmologist), initiating and assisting with Medicaid applications processing PETI paperwork

4) Discharge Planning: Responsible for initiating and coordinating the discharge planning process through: Coordination and assessment of discharge potential with the inter-disciplinary team, initiation of discharge plan including education of resident/family, coordination of service delivery following discharge

5) Documentation progress notes, social histories, discharge plans, MDS, care plans

6) Regulatory Requirements knowledgeable of and carries out responsibilities to meet the State, Federal, and JCAHO regulatory requirements

7) CQI/Committee responsible for initiation and participation of CQI and projects, and other, and other committee work deemed necessary to carry out the functions of Resident Services.
